Privacy Policy

Docsigns (“we”, “us”, or “our”) provides a free document signing service on the web at www.docsigns.online and through the Docsigns apps for iOS, Android and macOS. This Privacy Policy explains what information we handle, how we use it, which third parties are involved, and the choices you have. It applies to both the website and the apps; where a rule applies to only one of them, we say so.

1.Who We Are and How to Reach Us

Docsigns is operated by Desflex. If you have any question about this policy, your data, or a privacy request, email us at hr@desflex.co or use our contact page. We answer privacy requests at the same address.

By using the Docsigns website or apps you agree to the handling of information described in this policy. If you do not agree, please do not use the service.

2.Information We Collect

Documents you open. On the website, PDF files you open are rendered and signed inside your own browser (see “How Your Documents Are Processed” below for the one exception that applies to Word files). In the apps, files you import are stored locally on your device.

Signatures. Signatures you draw, type or upload are kept on your own device — in your browser for the website, and in your on-device signature library in the apps. We do not receive a copy of your signature.

Messages you send us. If you contact us, we receive the email address you write from and whatever you choose to put in your message.

Automatically collected technical data. Like most websites, we and our providers automatically receive standard technical information when you visit: IP address, browser type and version, device type, operating system, referring page, the pages you view, and the date and time of your visit. This is used for security, aggregate traffic measurement and troubleshooting.

Cookies and similar technologies. See the “Cookies and Similar Technologies” and “Advertising” sections below for what is stored on your device and by whom.

We do not ask you to create an account to use the website, and we do not collect names, postal addresses, phone numbers or payment details through the website.

3.How Your Documents Are Processed

PDF files on the website. When you open a PDF on www.docsigns.online, the file is read, rendered, signed and exported entirely by code running in your browser. The PDF itself is not transmitted to us and is not stored on our servers.

Word documents (DOC and DOCX) on the website. Word files cannot be rendered in the browser, so to sign one we must first convert it to PDF. If, and only if, you open a DOC or DOCX file, that file is uploaded over an encrypted connection to our document conversion service (operated for us at api.toolyfied.com), converted to PDF, and the resulting PDF is returned to your browser for signing. The signing itself then happens in your browser as above. Converted files are held only as long as needed to complete the conversion and are not used for any other purpose, are not sold, and are not used to build a profile about you or to target advertising.

If you would prefer that a document never leaves your device at all, convert it to PDF yourself before uploading it, or use the Docsigns app.

In the apps. Documents and signatures are stored on your device. If you import from or export to a third-party service such as Google Drive, Dropbox, OneDrive or Files, that transfer is handled by that provider under its own terms and privacy policy.

4.How We Use Information

We use the information described above only to:

  • provide the service — render your document, apply signatures and dates, convert Word files, and produce the signed PDF you download;
  • keep the service secure and reliable, including detecting abuse and diagnosing errors;
  • understand in aggregate how the site is used so we can improve it;
  • show advertising that helps keep Docsigns free, as described below; and
  • reply to you when you contact us.

We do not sell your personal information. We do not use the contents, file names or images of your documents or signatures for advertising, profiling or model training.

5.Cookies and Similar Technologies

A cookie is a small file placed on your device by a website. Docsigns uses a small number of them, and our advertising and analytics partners may use their own.

  • Strictly necessary storage — used to remember your cookie and advertising choices and to keep the site working. This cannot be turned off through the site.
  • Analytics — set by Google Analytics to count visits and understand which pages are useful. See “Analytics” below.
  • Advertising — used by Google and its partners to serve and measure ads. See “Advertising” below.

You can delete or block cookies at any time in your browser settings. Blocking all cookies may stop parts of the site from working, and blocking advertising cookies means you will still see ads, but they will be less relevant to you.

6.Advertising

The Docsigns website is free to use and is supported by advertising. We use Google AdSense to display ads on the site.

Third-party vendors, including Google, use cookies to serve ads based on your prior visits to this website or other websites. Google's use of advertising cookies enables it and its partners to serve ads to you based on your visit to Docsigns and/or other sites on the Internet.

You may opt out of personalised advertising by visiting Google Ads Settings. Alternatively, you can opt out of a third-party vendor's use of cookies for personalised advertising by visiting aboutads.info, Your Online Choices or the Network Advertising Initiative opt-out page.

If you are in the European Economic Area, the United Kingdom or Switzerland, we ask for your consent before advertising and analytics cookies are set, and we pass your choice to Google using Google's consent signals. You can change your choice at any time using the “Cookie settings” link in the site footer.

Ads are never targeted using the contents, names or images of your documents or signatures.

In the Docsigns apps. Free users may see banner ads on the Home, Documents, Signatures, Settings, Create Signature, Upload, Editor and Contact Support screens, and a single full-screen (interstitial) ad shown just before a finished document is exported. Upgrading to Pro removes all ads everywhere in the app.

7.Analytics

We use two analytics services on the website.

  • Google Analytics 4, which tells us how many people visit, which pages they read, roughly where in the world they are, and how they found us. It sets cookies (typically named _ga and _ga_*) to recognise a returning browser. Where you have not consented to analytics cookies, it runs in a cookieless mode that sends only aggregate measurement signals.
  • Vercel Web Analytics, which reports aggregate figures such as page views, referrers and country, and is designed to work without cookies that identify you personally across sites.

We do not use analytics to identify you personally, and we never send the contents, file names or images of your documents to any analytics service. You can read more in the Google Privacy Policy and the Vercel Privacy Policy.

You can opt out of Google Analytics entirely by choosing “Essential only” in our cookie bar, by using “Cookie settings” in the site footer to change an earlier choice, or by installing the Google Analytics opt-out browser add-on.

In the apps we may collect non-identifying diagnostic data such as app version, device type, crash logs and feature usage to keep the app reliable.

8.Data Sharing

We share information only in these circumstances:

  • Service providers that operate the service for us — our hosting provider (Vercel), our document conversion service, and Google for analytics (Google Analytics 4) and advertising (AdSense) — and only to the extent needed to do their job.
  • Legal reasons — if we are required to by law, or where we believe it is necessary to protect the rights, property or safety of Docsigns, our users or the public.
  • Business transfer — if Docsigns is involved in a merger, acquisition or sale of assets, information may be transferred, and we will note it here.

We do not sell or rent your personal information to anyone.

9.International Data Transfers

Docsigns is operated from, and uses providers located in, a number of countries. Where information is transferred out of your country — for example to servers in the United States — we rely on appropriate safeguards offered by those providers, such as the European Commission's Standard Contractual Clauses.

10.Data Retention

Documents you sign in your browser are never sent to us and so are never retained by us. Word files sent for conversion are retained only for as long as the conversion takes and are then deleted. Server logs and aggregate analytics are kept for a limited period for security and troubleshooting. Emails you send us are kept for as long as needed to handle your request.

11.Data Security

All traffic to and from Docsigns is encrypted in transit using HTTPS. We apply reasonable technical and organisational measures to protect information. However, no method of electronic storage or transmission is completely secure, and we cannot guarantee absolute security.

12.Your Rights and Choices

Everyone. You can clear the documents and signatures held by your browser at any time by clearing your browser's site data, and you can delete any document or signature in the apps individually, several at once with multi-select, or all at once with “Delete my data” in Settings. You can change your advertising choice at any time via “Cookie settings” in the site footer.

If you are in the EEA or the UK. You have the right to access, correct, delete, restrict or object to our processing of your personal data, the right to data portability, and the right to withdraw consent at any time. Where we rely on a legal basis, it is your consent (for advertising and analytics cookies), the performance of our service to you (to process your document), or our legitimate interest in keeping the service secure and improving it. You also have the right to complain to your local data protection authority.

If you are in California. You have the right to know what personal information is collected and how it is used and shared, the right to delete it, the right to correct it, and the right not to be discriminated against for exercising those rights. We do not sell or share personal information as those terms are defined by the CCPA/CPRA.

To exercise any of these rights, email hr@desflex.co. We will respond within the time required by applicable law. We may need to ask you for information to verify your request.

13.Children’s Privacy

Docsigns is not directed to children under 13, and we do not knowingly collect personal information from them. If you believe a child has provided us with personal information, contact us at hr@desflex.co and we will delete it.

14.Third-Party Links

Our site and blog link to other websites and to the Apple App Store and Google Play. We are not responsible for the content or privacy practices of those sites, and we encourage you to read their privacy policies.

15.Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be reflected by the “Last updated” date at the top of this page and, where appropriate, a notice on the site or in the app. Continuing to use Docsigns after a change takes effect means you accept the updated policy.
